Southwest Vacations’ Travel Protection

Valid for all U.S., Mexico, and The Caribbean destinations, excluding Vacation Exclusive Packages.

Help protect your vacation investment from the unexpected with Southwest Vacations' Travel Protection. Southwest Vacations® offers this option to provide you peace of mind in knowing your vacation investment is protected from the moment you book and up to your return home.

The plan is valid only if payment of the plan cost has been received by Southwest Vacations.

Pre-Departure Penalty Waiver
Provided by Southwest Vacations (non-insurance features)

  • Cancel for any reason:
    You may cancel for ANY reason at any time prior to departure and receive a refund to the original form of payment for the full package price less the cost of flights and the Southwest Vacations' Travel Protection plan cost. Flights are nonrefundable and will be issued in the form of an airline credit valid for future travel for up to 1 year from original time of purchase.
  • No supplier penalties or fees:
    If you change or cancel your vacation prior to departure, all supplier penalties and fees for hotels, rental cars and/or activities will be waived under the Pre-Departure Penalty Waiver. Coverage includes any nonrefundable hotels, car rentals and activities. If you change your vacation and choose to apply your Southwest Vacations' Travel Protection to waive any supplier penalties or fees, the coverage is considered as used. You will be required to repurchase the option in order to retain coverage on the vacation from that point forward. If you choose to decline repurchasing the Southwest Vacations' Travel Protection after a supplier fee is waived, you will be subject to any subsequent fees for any further revisions or cancellations and will no longer have any of the benefits previously offered with the Southwest Vacations' Travel Protection.
  • Hurricane travel credit:
    If a hurricane affects your city of origin or destination prior to your departure, receive a refund for your unused hotel, rental car and/or activities. The cost of flights will be issued as an airline credit for future travel.

    NOTE: Customers who are impacted by a hurricane while on their vacation may be eligible for benefits provided under the Post-Departure Travel Insurance portion of the plan and may contact On Call International for assistance with changes to their travel itinerary or contact Aon Affinity for consideration of additional expenses incurred related to a delay caused by a hurricane/tropical storm. Please refer to the Post-Departure Travel Insurance section for more details.


Important Notices and Exclusions:

  • The Southwest Vacations’ Travel Protection option is nontransferable and nonrefundable once purchased.
  • Excludes forfeited air cost due to failure to notify Southwest Airlines Vacations of a cancellation prior to departure (No Show).
  • Excludes situations in which the passenger was not allowed on the plane (Denied Boarding).
  • Fees paid directly to suppliers are not covered by the Southwest Vacations' Travel Protection option. This includes, but is not limited to, EarlyBird check-in, baggage charges, hotel resort fees, etc.
  • The Southwest Vacations' Travel Protection option must be purchased by all passengers on the record, including children of all ages.
  • If the number of individuals occupying a room decreases, the remaining travelers will be responsible for additional costs incurred as a result of a change in the per person occupancy rate.

How to File a Claim

  • Please contact Southwest Vacations' Customer Care at (800) 243-8372 to change or cancel your reservation. All changes and cancellations must be received and confirmed by Southwest Vacations' Customer Care prior to departure.
  • If the reservation is cancelled, a written refund request can be submitted as follows:

Post-Departure Travel Insurance

  • Travel Arrangement Protection
    • Trip Interruption Protection: Reimburses (up to the total trip cost) unused hotel arrangements plus additional costs to change or purchase a new airline ticket if you can't travel due to circumstances such as illness or injury to you, a family member, or traveling companion, jury duty, subpoena, or a traffic accident on the way to the airport.
    • Travel Delay Reimbursement: Reimburses additional transportation costs or unused hotel arrangements should your flight be delayed 12 or more hours due to weather, strike or other job action, or equipment failure of a common air carrier. The plan reimburses you for the unused portion of your trip, additional accommodations and meal expenses.
  • Medical Protection
    • Emergency Evacuation: Arranges and pre-pays the cost of emergency medical transportation if a serious illness or injury occurs during your vacation that requires medical evacuation.
    • Medical Expense Reimbursement: Reimburses medical costs should you incur hospital charges or other medical bills as a result of an illness or injury during your vacation.
  • Baggage Protection
    • Baggage/Personal Property Reimbursement: Reimburses you for baggage or items lost, stolen, or damaged during your vacation.
    • Baggage Delay Reimbursement: Reimburses for the purchase of necessary personal items if your bags are delayed by the airline for 24 hours or longer. The plan covers you for the purchase of necessary items in the event your luggage is delayed by an air common carrier for more than 24 hours en route to your vacation.
  • Travel Accident Protection
    • Accidental death and dismemberment coverage in the event of loss of life or limb while flying.
  • Worldwide Emergency Assistance
  • Services provided by On Call International (non-insurance services)

How to purchase Southwest Vacations' Travel Protection
While building your vacation, you may purchase the Southwest Vacations’ Travel Protection option from the Add-ons menu under Travel Protection. You may also add it during the first step of your check-out process in the Travel Protection section.

How to File a Claim

  • Please contact Aon Affinity, the Plan Administrator, toll-free at (800) 527-3522 or go to to initiate the claim online.
  • For covered emergencies during your trip which require evacuation or interruption, promptly call On Call International with your policy number and emergency details. Emergency Evacuations and Repatriations are pre-paid and arranged by On Call International.
