BENEFITS OF PURCHASING THE PENALTY WAIVER
- Enjoy the overall peace of mind in knowing your vacation investment is covered! With the purchase of the Penalty Waiver guests will receive their full (qualifying) refund (minus the cost of coverage) in their original form of payment.
- With the purchase of the Penalty Waiver guests can cancel their trip for any reason, no questions asked! Simply call us any up to 2 hours prior to the scheduled departure time, and cancel with limited penalties.
- Guests who purchase the Penalty Waiver have the added flexibility to cancel up to 2 hours prior to your scheduled time of departure. You are covered with the penalty waiver!
1. Pricing/Purchase Information:
- Must be purchased by all parties on the record.
- Penalty Waiver cost is due with initial deposit / payment.
- Must be added to the record prior to payment being added.
- Penalty Waiver is nonrefundable.
- All children ages 2 and older as well as children under 2 who have purchased an air seat or any children staying as adults in the hotel due to hotel child policies - including infants - must purchase the Penalty Waiver to avoid the normal cancellation policies.
2. Coverage:
- Allows Customer to cancel for any reason and receive a full refund less the cost of the waiver. Cancellation must take place prior to scheduled outbound departure and Southwest Airlines Vacations must be advised of the cancellation in advance.
- Covers Southwest Airlines Vacations and supplier related penalties including the $100 per person Southwest Airlines Vacations Cancellation Fee. This includes all features which are otherwise nonrefundable.
- A name change is considered a cancellation of the original passenger. The Penalty Waiver is not transferable to substitute passengers that are traveling on the original itinerary. The $100 per person Cancellation fee will be waived if cancelled passenger had purchased the Penalty Waiver.
- Guarantees the lowest available package price for an IDENTICAL package if requested before travel. Package must include the same room category / travel dates/ flights. Guarantee does NOT apply for a different travel date, flight or room category. NOTE: Customers claiming the lowest available price will retain their Penalty Waiver - the Penalty Waiver is not considered used or void unless the cancellation benefits are claimed.
- Once purchased and the cost of Penalty Waiver has been received by Southwest Airlines Vacations - the price of the tour is guaranteed not to increase providing no changes to the original itinerary occur.
3. What is NOT Covered:
- Revision Fees. See Terms and Conditions for details.
- No Show situations - failure to notify Southwest Airlines Vacations of a cancellation prior to departure.
- Denied Boarding situations - passenger not allowed on plane.
- During Travel Protection - customers cannot claim a refund of this feature using their Penalty Waiver.
- Cost of Penalty Waiver - the Penalty Waiver is nonrefundable.
- Increase in per person flight / hotel vacation price if one or more persons on the reservation cancel - e.g. three people were originally booked to travel and stay in one room - one person cancels and the remaining two are rebooked as a double with a price increase.
4. How is the Package Price Refunded:
- Southwest Airlines Vacations must be notified of the cancellation prior to departure.
- Refunds will be issued in the same form as original payment. See Terms and Conditions for instructions on requesting a refund.
- Once a cancellation has occurred the waiver must be repurchased on future bookings if the waiver is wanted.
- During Travel Protection will not be refunded in any form.
5. Claiming Lowest Advertised Price:
- The waiver will guarantee the lowest available advertised price IN THE SAME ROOM CATEGORY, ON THE SAME FLIGHTS AND FOR THE SAME TRAVEL DATES. For example, this option is not valid when original purchase was for a Tower room but a Garden room price is advertised.
- The Penalty Waiver can be used to rebook a vacation at a lower price when the new purchase price is lower than the booked price.
- To claim lowest available price the Customer needs to contact Southwest Airlines Vacations prior to departure and have the reservation rebooked. A Customer Care Specialist will change the reservation to reflect the lower price and complete a request to issue a refund for the balance.
- The Penalty Waiver will only be considered used and void when Customers claim the cancellation benefit -- not the price benefit.
